Budget vs ActualFeatures

Status and thresholds

When a row reads On track, At risk, or Over budget, and how the at-risk threshold works.

Every row and the Total line get one of three states. The state is based on spent plus committed as a share of budget, so money that is already promised counts before it is invoiced.

The three states

  • On track: spent plus committed is below the at-risk threshold.
  • At risk: spent plus committed has reached the threshold but is still within budget.
  • Over budget: spent plus committed exceeds the budget. The Remaining figure turns negative and the row bar turns red.

Rows without a budget, or with a budget of zero, show no state. Their spend still counts toward the Total line.

The at-risk threshold

The default threshold is 80 percent. Set it lower to hear about pressure earlier, or higher for budgets that are routinely spent to the last dollar. The threshold applies to every row of the widget and is marked as a tick on each progress bar.

Reading the numbers

  • Budget: sum of the Budget column across the row's items.
  • Spent + committed: Actual plus Committed. The tile also lists the two parts separately.
  • Remaining: Budget minus spent plus committed.
  • Used: spent plus committed as a percentage of Budget. A row with spend but no budget shows an infinity sign.

The headline above the tiles summarizes the Total line: the amount over when the total is over budget, the percentage used and an at-risk note when the threshold is reached, and the percentage used otherwise. A counter in the corner shows how many rows are over or at risk.
